Importing an iCal calendar

If you manage your calendar with an application other than calagenda (Microsoft Outlook, Google Calendar, Thunderbird, Apple Calendar, etc.), import your data into calagenda to obtain a calendar that you can easily customize, print, publish, or use online. There are numerous customization options (layout, photo, legend, etc.), and your calendar data will be available with all the calendar templates (monthly, weekly, bimonthly, quarterly, semi-annual, and yearly). On the other hand, the advanced activity tracking features (statistics, scheduling, accounting, etc.) will offer you services that you don't have with a traditional calendar management system.

All calendar data from calagenda will be stored on your computer, tablet, or smartphone, and will therefore not be stored on a web server. This ensures that it will not be used without your knowledge. Also, if you wish to manage your calendar confidentially and perform your own backups on the storage medium of your choice, you have the option to do so. a tool for transferring your calendar to the Calagenda application that respects your privacy.

How does it work?

You must have either a web address of an iCal file, generally with a .ics extension (for example, with Google Calendar), or a file exported from a calendar application (for example, Outlook, Apple, Thunderbird, etc.).

If you already have personal data in the Calagenda calendar, I recommend you make a pre-backup.

Importing is done in two steps:

  • Prepare the import
  • Import

Prepare the import

Choose:

  • The import period: only events between these two dates will be included.
  • The data to be Import: By default, all textual information (title, location, and description) and time-related information (start date, end date, time range) will be imported, but you can restrict the import of textual data by importing only the title, only the location, or only the title and location. Option: This option allows you to assign certain events to a specific activity to benefit from the activity tracking features available in the calagenda application (display options, scheduling, searches, statistics, appointment management, conflict management, financial calculations, etc.). With this option, you can also restrict the import based on the title or location.
    • No: to treat all events in the same way.
    • The title: to allow assigning certain events to a specific activity, based on its title.
    • The location: to allow assigning certain events to a specific activity, based on its location.
    • The first word of the title: to suggest assigning events to an activity Precise, based on the first word of the title.
    • The first word of the location: to assign events to a specific activity, based on the first word of the location.
    • The title if time range: to assign events based on the title only if it includes a start time and an end time (excluding full days).
    • The location if time range: to assign events based on the location only if it includes a start time and an end time. (excluding full days).

Choosing the source:

  • If you have the web address of a file in iCal format (for example, with Google Calendar):
    • Paste this address into the "Web address of an iCal file" field.
    • Click "Save preferences" to save your choices (import period, data to import, option, address).
    • Click "Prepare import".
  • If you have a file from an export:
    • Click on "Choose a file"...

File analysis results

The tool displays

  • The name and optional description of the calendar.
  • The total number of events.
  • The period requested in the previous step.
  • The number of events for the requested range.
  • The actual range: The earliest and latest event dates for the requested period.
  • For each case corresponding to the options selected in the step Previous (location, title, first word of the location, first word of the title, etc.)
    • The number of events concerned, and optionally the number of days (if one or more events take place over several days)
    • A drop-down list "Assignment" where you can choose:
      • Calendar: Summary/Detail: the event will be imported into the "Summary" field for the title or location, and in the "Details" field for the description (excluding activity tracking).
      • Calendar: Details: the three descriptive fields of the event (title, location, and description) will be imported into the "Details" field of the calendar (excluding activity tracking).
      • An Activity: the activities offered are of type "Schedule" (in green) for events with a time slot (i.e., with a start time and an end time), and of type "Time" (in blue) for events lasting a full day. The "Title", "Location", and "Description" fields will be imported into the "Description" field of the activity.
      • (New): to create a new activity.

Click on "Import calendar (Step 2)".

At this stage, you can still:

  • Choose to restrict the import period.
  • Do not import all events by, for example, unchecking a box corresponding to an activity.
  • Add the calendar to the existing data or replace it; in the latter case, the existing data will be deleted from calagenda.

Click on "import".

The calendar will then be available in all calendars. The "Info" tab above the calendar will allow you to choose, for each day, the display mode for the calendar and each activity in the tracking, with a summary of activities for the period corresponding to the calendar displayed. (number of events, total time, average time, amount if the activity has an hourly cost, etc.).

Procedures specific to market Calendars

Procedure with Google Calendar

If you manage your calendar with Google Calendar, the procedure to follow is as follows:

    • Access your calendar from your browser.
    • Access the options specific to your calendar:

    • Select "Settings and sharing"
    • Scroll down to the secret address in iCal format

    • Paste the address into the "Web address of an iCal file" field on the "Import an iCal file" page of the Calagenda application.
    • Click "Save preferences" to avoid repeating this procedure before each new import.
    • You can then customize the import.

Procedure using the Outlook Web App

  • Open your browser and access the Outlook application.
  • Access the settings via the gear icon located in the upper right corner.
  • Click the "Calendar" link and then "Shared calendars".
  • Click the blue link next to ICS, and then "Copy link".
  • Paste the address into the "Web address of an iCal file" field on the "Import an iCal file" page of the Calagenda application.
  • Click "Save preferences" to avoid repeating this procedure before each new import.
  • You can then customize the import.

Transferring your calendar to the Calagenda application is a two-step process:

Exporting data

Exporting an Outlook Calendar

      • Launch the Outlook application and open the calendar.
      • Click on "File," then on "Save Calendar."
      • You can either export the entire calendar or choose a date range. Note that you will also have the option to choose a date range during the import process.
      • Click on "OK," then on "Save," and choose a location to store the file.

Export a calendar from a Mac computer

      • Open the Calendar application.
      • Click the calendar name in the calendar list. (To view the calendar list: "View", then "View Calendar List")
      • File, Export...
      • Choose a location and then click Export.

Export a Thunderbird calendar

      • Launch Thunderbird and access your calendar.
      • Click "Events and Tasks", then "Export Calendar".
      • Choose a location and then click "Save".
