Free online diary calendar: list of activities.

The management of activities allows on the one hand to  record its activity in a detailed way (day after day), or synthetically (at the end of the month),
on the other hand to obtain a totalization by type of activity , for a month, a bimonthly, a quarter, a semester, or a year.

With schedule-type activities, it is possible to schedule an event with a start date and an end date, display a schedule with a time grid, manage scheduling conflicts, and prepare pricing taking into account a flat rate and/or an hourly rate. This new feature will be useful for managing all appointments for the liberal and craft professions, as well as for childminders and home helpers, with the option of preparing billing.

List and characteristics of activities

  • To delete an activity , click the trash can ( ) to the right of the row you want to delete, then click Save .
    CAUTION: Do not delete activities for which follow-ups are still recorded.
    if you do, you can recreate the activity, with the same name (column (1) below)   
  • To add an activity , fill in the last line, then click Save . 
  • To modify an activity : optionally modify the label, type, display, etc., then click on Save .
    Your changes will only be effective after clicking on 'Save'.
  • Then click on 'View calendar' to check the impact of your changes on the active calendar.

  1. Activity : it is an internal code, of 10 characters maximum, without accent, without spaces, and without special characters, which cannot be modified.
  2. Label : it is the label of the activity, of 15 characters maximum, which will be displayed in the drop-down lists and in the activity count reports.
    Tip : You can sort the activities, for example on the label.
  3. Type : Defines the type of follow-up to be performed for this activity:
    • Schedule : To allow the entry of events such as appointments, childcare, etc., with a start time, an end time or a duration, and to possibly perform a calculation for invoicing.
    • Time : unit of time in days, hours, and minutes, to count overtime, working time, holidays, time spent on a task or project, etc.
    • Number : number without decimals, to count for example the number of customers or prospects, kilometers traveled
    • Amount : amount with decimals, for example to total the amount in euros of sales or purchases, travel expenses.

  4. Duration of a day (optional, in the case of a time unit, hh:mm format): this duration in hours and minutes will automatically convert the sum of minutes and hours into days, hours, and minutes, in the summary statements. 
  5. Default display : it defines the type of display of the follow-up in the boxes of the calendar, for each activity.>
    agenda of the day, the follow-up of activity being always displayed in a detailed way.

    If the 'Activity tracking' drop-down list of the active calendar is set to 'Do not display', no activity will appear.
    If one or more activities are selected in the 'Activity tracking' drop-down list, only these activities will appear.
    If the 'Type' drop-down list is set to a value other than 'Planning', the display rules below apply: 
    • Box look : it is the color of the background, the pattern or the icon chosen to synthetically materialize the activity on your calendars. If several activities are affected by this type of display, for a given day:
      - the color or pattern (background image) of the last activity will be applied.
      - the icons will possibly be superimposed, if their position is identical for several activities.
    • Colored edging : it will be displayed on the same line as the eventual summary of the diary, so as not to confuse it with the borders used for school holidays. If several activities are affected by this type of display, for a given day, the borders will be displayed next to each other. For the display to be effective, the 'Agenda' drop-down list of the 'Data' tab must be positioned on 'Summary' or on 'Details', for the active calendar. The summary being placed after the borders, on the same line, it will possibly be truncated if the width of the box is small.
    • Same diary : the display in the daily follow-up will follow the calendar display rules for the active calendar. This option is used to customize the display of the detail according to the calendar used, for example: display the detail in the monthly calendar in column, and an icon in the monthly calendar in table, more synthetic.   
    • Do not display : The tracking item will only be shown in the tooltip.   
    If the 'Type' drop-down list is set to 'Schedule':
    • If the display of the schedule is requested in the 'Data' tab of the calendar, the display will be in the form of a schedule.
    • Otherwise, the rules above apply for the display of activity in the calendar.

    Note : for the monthly follow-up, the display will be in the form of text if the type of display is other than ' Do not display '.   
  6. Box look or edging : to customize the color or the background image according to the activity: do not use the same color for 2 different activities, unless they are activities of the same type ( for example Legal holidays, RTT and public holidays). Choose, for example, colors of light boxes and colors of dark borders, to see them clearly in each box. You can also choose an icon, size 16, 24, or 32 pixels: in this case, choose different positions for each activity if possible, in order to avoid their overlapping on the calendars.
  7. Counting : it allows you to display a  summary of each activity , for the period corresponding to the calendar, in the same space as that of the periodic notes and reports, at the bottom of the calendar, below the logo Free diary calendarand the text " Custom calendars: https:calendar.calagenda.global/calendriers.htm".    
    - Check to display the summary status for this activity.
    - Uncheck to not display the summary status for this activity.
    WARNING: for the count to be effective in the calendar: , the drop-down list relating to activity monitoring, in the 'Data' tab of the active calendar, must be positioned on 'With summary'.

    • Click on to delete the activity.
      CAUTION: Do not delete activities for which follow-ups are still recorded.
      (if you do, however, you can recreate the activity, with the same name...)
    • Click on + to add an activity.
    • PartyThe Feast activity allows on the one hand to assign a color to the remarkable holidays of the year (religious holidays, national holidays, etc.) on the other hand to modify the name of the saint, for the holidays whose date does not is not fixed. (Pentecost, Ascension, year-specific holidays, etc.).
      The 'fete' and 'ferie' activities cannot be deleted, but you can modify the appearance of the boxes corresponding to these activities in the calendars.
  9. For schedule-type activities :
    • Color or appearance of the box for displaying this schedule in the calendars.
    • Type of entry: the entry can be done either with a start date and an end date, mainly for activities lasting more than one hour (for example childcare), or with a start date and a duration , for activities under an hour, in which case the default duration will optimize entry time.
    •  As an option, for the possible preparation of invoicing:
      - The fixed price of the day, which will only be counted once per day, even if several plannings have been made in the same day.
      - The fixed price of the intervention, for example the price of the consultation or the trip.
      - The hourly cost, for example for a child care centre. 
      Note that it is possible to enter both the flat rate for the day, the intervention and the hourly cost, for example to count the midday meal, each trip, and the care of a child.
      This pricing information may give rise to correction at the time of entering the event, to invoice an exceptional service or to apply an increase or a reduction.
  10. Note that the activity tracking display options specific to each calendar model are present in the 'Data' tab, above the active calendar.
    On the other hand, for activities materialized by an icon, you can adjust the positioning and the size of the icon, model by model, with the drop-down list 'Calendar model' above. In this case, the time units are not modifiable, as well as the image itself. To change them, choose 'Default'.
  11. The schedule management parameters are used to define:
    • The hourly amplitude of the day (start time and end time), used on the one hand for entering events, on the other hand for displaying the schedule in the calendars.
    • Conflict management to be applied:
      - Global management if several different activities cannot be planned at the same time.
      - Management activity by activity if several events of the same activity cannot be planned at the same time.   
    Tip : to force the recording of a schedule-type activity, either outside the hours of the day, or in conflict with another activity,
    • set the same start and end times for the activity.
    • or do not enter a start time.
    • or enter the activity not on a day, but in the monthly periodic report.
