Enter your notes and periodic reports of forecast or actual activity

You can enter notes (friends to invite, shopping to do, gardening tasks, etc.), reports, activity forecasts, which do not relate to a specific day, but to a period such as week, month, quarter, half year, or year. For each calendar model , you can choose to print or not to print the notes corresponding to the period.    


Note that your notes and periodic reports will be kept on your computer, tablet or smartphone, and will therefore not be transmitted and stored on a web server, for possible use that you do not control. Your private and professional life will thus be preserved.

Implementation

For this function to be available, the ' Periodic reports ' drop-down list must be positioned on ' Show detail ' or on ' Show summary ', in the 'Data' tab located above each calendar.

  • This option is specific to each calendar model: you can for example display the details of the notes in the monthly calendar in columns, and the summary in the monthly calendar in tables and the annual calendars.
  • You have as many notes as there are periods, that is to say at most:
    • Weekly notes for each week. For the last week of the year, straddling two years, you can enter a double report, that is to say a report for the last week of December (generally week number 53), and another report for the first week of January (week number 0).
    • Monthly notes for each month.
    • A quarterly report for each calendar quarter, and another report for each school quarter: teachers can for example make a report on the class, record the general or subject averages of the students, and provide any assessment.     
    • A half-yearly report.
    • An annual report for each calendar year (January to December), and another report for each school year (September to July). 
    • A report for each period used in the rolling calendar. This type of report will be useful to describe a project or construction site. 
  • You can use this function
    • To enter your activity forecasts for future periods, for example your commercial sales forecasts, or the results of your activity, for example your sales achieved in the month, quarter, half-year, or year. Note that it is possible, at the end of each month, to record numerical results, for example, using activity monitoring. These results can then be subject to automatic totalization, for example over a year. If forecasts and achievements are recorded on separate activities, it will then be possible to easily calculate, over a given period, the differences between forecasts and achievements.
    • For your personal and family needs: invitation planning for your friends, diary, list of shopping to do or work to be done in the month or quarter, etc.
  • The data entered is not stored on a web server. They are not transmitted over the Internet. They are stored on your computer's hard drive. It is your responsibility to make periodic backups .

Entering notes

  • Display the calendar corresponding to the period concerned (for example the calendar for the 1st quarter of 2024, to enter the commercial activity report for the first quarter of 2024). Quickly access a calendar close to today's date via the menu at the top left ( Direct access )
  • Click, at the bottom of the calendar, on the logo calendar logoor on the text “ Calendars: https://calendar.calagenda.global”.
  • Enter your notes and reports in the box that appears: you can enter:
    • a summary (single line text).
    • a detailed text of several lines, to note:
      - an activity report, forecast or actual.
      - a diary.
      - a list of friends to invite: invitations to be made during the month, quarter, semester, or year.
      - meetings and appointments to be planned during the period. 
      - a list of shopping to do, tasks to complete during the period, etc.  
    • Tips (using HTML tags for advanced users)
      • To center the note at the calendar footer, enter:
        <div style='text-align:center'>Your note...</div>
      • To center it and display it in red:
        <div style='text-align:center;color:red'>Your note...</div> 
      • To display the grade (or part of the grade) in bold:
        <b>Your grade</b>
      • To display the grade (or part of the grade) in italics:
        <i>Your grade...</i>
      • To display the note in the center of the calendar, in bold and red:
        <div style='text-align:center;color:red'><b>Your note...</b></div> 
      • You can use any HTML tag, with or without CSS style...
    • With monthly calendars, access monthly activity monitoring (select 'Schedule' in the drop-down list or click on the pictogram Activity tracking  ), to note sales, purchases, customers, prospects, overtime for the month , or any other activity .   
  • Validate your entry by clicking on 'Save' .
  • Check the result at the bottom of the calendar, below the words calendar logo  " Calendars: https://calendar.calagenda.global".   

Finding Notes

A search function allows you to find your notes and reports based on their content, or to display all the notes corresponding to a given period.

  • Click on 'Search' , in the ' Data ' tab , or choose ' Direct access ', ' Calendar ', ' Research ' from the menu at the top left.
  • To restrict the search to a period, choose a starting month and year, and a duration in months. Only periods whose start and end dates are included in the period will be taken into account. 
  • To restrict the search to periodic reports, only check this box in ' Data '. If you have recorded daily and/or monthly activity tracking, you can also select the activities for which you want to display the detail or total. 
  • Click 'Search'.
  • The list that appears contains 2 columns.
    • The first column gives the period relating to the report.
    • The second column gives the content of the report. If the result contains several types of events (for example daily calendar entries and periodic notes), the periodic notes are differentiated with the pictogram ( ).
  • If the ' Count ' box is checked, a summary report will indicate:
    • The number of periodic reports concerned
    • If daily and/or monthly activities are included in the period, a totalization of these activities.
